The pressures of running a modern-day healthcare organisation continuously grows and claims can arise from an array of situations. Navigating the claims process can feel daunting, especially if you feel like your business or assets are at risk. Whilst an insurance adviser may be able to provide guidance on how to minimise the event of a claim, we thought we would provide a few additional tips on the timeline and navigation of submitting one.

Review your Most Recent Policy Documents

If you would like to submit a claim and are feeling stuck on where to start or want to further understand the conditions of making one, a good place is to review your most recent policy documents. This could be from a new quote you have taken out if you have changed insurers, a recent renewal or a mid-term adjustment if you have had one. Your documents will cover how or if you’re covered but also, importantly, the notification period if you think you may be subject to making a claim.

Make a Timely Notification of your Claim

Depending on the policy you need to claim on, notification periods will differ. After reviewing the relevant policy documents, it is essential to comply with the notification period that is stated. Example notification periods, if your current scheme is with Allianz, are as follows:

  • Practice and Property Owners Insurance:

Typically follows a 28 to 30 day notification period depending on the claim.

For instance, damage or consequential loss by riot or civil commotion have a 28 day notification period whilst all other cases have a 30 day notification period.

Please notify your insurer immediately upon being advised of any prosecution which may form the subject of a claim within your policy.

We recommend that you make a notification of absence within ninety (90) calendar days of any occurrence which may result in a claim under your Locum policy. This is regardless of your deferment or excess period.

This is not only to comply with the condition of the policy, or else your insurer may reject your claim, but not making a timely notification may result in a delay of your claim.

  • Professional Indemnity and Third-Party Liability Claims:

If you have been made aware of an event that could escalate to a claim, please inform your insurance broker or insurer immediately, even if the event does not result in a claim.  You are still required by law to comply with specific timeframes.

Have a constructive relationship with your insurer

You do not have to manage the communications between yourself and your insurer alone. If you are a client of ours, this is something we can provide support with. However, it is important to respond promptly to any requests from either your insurer or your insurance broker. If a third-party representative is required in response to your claim, please treat them with the same respect and manner as you would your insurer or broker.

Working constructively with all those necessary to complete your claim is vital for a smooth claims experience.
